Supported accounting document types

Typical source types include sales invoices, purchase invoices, expense receipts, sales and purchase credit notes, payroll reports, VAT workings and other supporting documents. Choose the correct document type before approval because it affects the downstream accounting route.

Review extracted fields

  1. Open the uploaded source record.
  2. Confirm supplier/customer, document date, reference and gross amount.
  3. Check net/VAT values and VAT code where VAT applies.
  4. Confirm the nominal/accounting treatment.
  5. Approve only when the source document supports the fields being posted.

Duplicates and uncertainty

Do not approve the same accounting source twice. Where Balansix flags a possible duplicate or uncertain field, compare the underlying document rather than clearing the warning because the amount “looks right”.

What changes by bookkeeping mode?

In Document-Led, approved documents create the core customer/supplier accounting position and the bank later settles it. In Bank-Led, the bank remains the primary record and documents support the bank transaction without creating a duplicate accounting entry.
