How to stop chasing clients for documents every year-end

Year-end delays often begin before the accounts work starts. The records are incomplete, requests are scattered through email, and nobody has a single view of what is still outstanding.

Quick answer

The most effective way to reduce client chasing is to turn requests into visible workflow: one client record, a clear outstanding list, a secure upload route, ownership and reminders tied to the job.

Why year-end chasing becomes repetitive

The same pattern repeats when a request is written as an email rather than managed as part of the job. The client sees a paragraph; the practice sees a thread. Attachments arrive in stages, different staff ask for the same item, and the job can look “in progress” even though one critical record is missing.

What a client portal must do to reduce chasing

A portal is useful only if it makes the client’s next action obvious. It should not become another place clients have to search.

Show what is required
Make upload simple
Keep messages with the client
Make outstanding items visible
Use reminders without duplicating requests
Keep the practice workflow updated

How the Balansix workflow approaches document collection

Balansix connects client requests, communications, the client portal, source documents and the accounting workflow. The practice can see the request in context rather than treating the client’s response as an isolated email attachment.

Reduce chasing by improving client adoption

Do not introduce the portal as optional technology. Introduce it as the normal way your firm exchanges records for the job. Keep the first request small, use plain labels such as “Bank statements to 31 March”, and avoid asking clients to learn your internal accounting vocabulary.

Practical rule: if a client has to decide where to upload, what to name the file and who to tell afterwards, the portal has shifted administration rather than removed it.

What to measure after implementation

Frequently asked questions

What is the best way for accountants to collect year-end documents?

Use a secure client-facing workflow with a specific request list, a clear upload route and visible outstanding status rather than relying on unstructured email threads.

Do automated reminders annoy clients?

They can if they repeat vague requests. Reminders work better when they identify the exact outstanding item and stop automatically once it is received.

Why do clients ignore accounting portals?

Common causes are too many login steps, unclear requests, inconsistent use by the practice and continuing to accept the same records through multiple channels.

How does Balansix reduce document chasing?

Balansix connects client requests, communications, portal uploads and the underlying accounting workflow so staff can see what is outstanding and use received records in context.
