Sign in, invite users and keep access clean.

Everyone who uses Balansix signs in through the Balansix sign-in page. There is no separate hosting or infrastructure account for practice staff or clients to create.

Balansix accounts and access levels

For normal use there is one important distinction:

Add practice users inside Balansix. Staff and client accounts are created in the Balansix team administration area. There is no separate hosting account for practice users, and none is ever needed.

Add a staff account

Use the staff/team administration area available to Directors or authorised Practice Managers.

  1. Open Team or the relevant Admin Centre user area.
  2. Add the person using their approved email address.
  3. Assign the correct role rather than the most powerful role.
  4. Allocate client access where client-level restriction applies.
  5. Send the invitation and ask the user to complete MFA.

First sign-in

The invited person should follow the Balansix invitation link rather than trying to create an account themselves. After authentication, check the role, visible modules and client list before starting live work.

Can the user sign in?
Yes → verify role and client access.
Invitation expired or missing?
Reissue from Balansix administration.
User sees the wrong clients?
Correct the Balansix permission or allocation.
Someone asks for an MFA code?
Do not share it.

MFA and credential rules

  • Every person uses their own account.
  • Never share passwords, MFA codes or recovery codes.
  • Do not create generic shared staff logins.
  • Remove or block access promptly when employment or responsibility changes.
  • Use read-only access when viewing is required without edit authority.

Client portal users

Client users are invited through the client-facing workflow. They should only see the information and upload/request functions exposed to them. They do not receive staff bookkeeping controls.

If sign-in fails

Confirm the email address, invitation status, browser session and MFA step. If access still fails, use Troubleshooting → and provide Support with the user email, role, time of failure and the exact on-screen message. Never include passwords or one-time codes.
