Moving from Xero or QuickBooks Online
References to Xero and QuickBooks here describe common source systems only. Do not assume that every data type is transferred by a live connector or that the source workflow should be reproduced exactly.

Choose mode during migration
Migration is the right time to decide whether each bookkeeping client is genuinely Document-Led or Bank-Led. Do not choose Bank-Led just because the previous system used bank feeds, and do not choose Document-Led merely because invoices exist.

Best where source documents and ledgers are the primary evidence.
The bank creates the accounting story
Best where the bank feed/statement is the primary bookkeeping record.
Validation
For accounting migrations, validate the opening trial balance, bank opening balances, open debtor/creditor items and VAT continuity before live posting. For practice management, validate client ownership, services, engagement and upcoming deadlines.
Move in cohorts
Complete one representative cohort, resolve the exceptions, document the practice convention and then repeat. This reduces the risk of importing the same structural problem across every client.
